Crossroads RPC Club Meeting Minutes October 21, 2017 Vigo County Public Library Room C Terre Haute IN Members Present: Russ Osmond, Lori Osmond, Tyler Shupe, Jeremy Swalls, Mike Frakes, Jeff Jones, Everett Raley, Walt Williams, Tim Leigh, Scott Dean, Ron Deisher, Steve DeGroote, Carl Potter, Tom Morgan, Alex Singleton Meeting was called to order at 10:05 by President Russ Osmond. Minutes from the last meeting were not available but a short discussion on what had transpired at the meeting was held. Crate risers, improvements to the water system, our driver Harley was all discussed. Treasurers Report was given by Lori, we will have $1309 left in the treasury after the BOW and Members Challenge is paid out. Old Business: Trailer Addition was discussed and plans are to expand the trailer by 4 crates under the current frame and then expand the trailer one deck higher for an additional 6 crates increasing the current capacity of 360 birds on the trailer to 660 birds. Pigeon Show took up much of the meeting with most all details hammered out. The Show will be November 11th. Birds will be entered from 8:00 to 9:30 with judging to start at 10:00. Lunch break at 12:00. The Auction to be held at 1:00. All Eastern Times. Raffles will be held during lunch and the auction. Show Fee is $2 per bird. Refreshment and Lunch Fee will be $5 for adults, $3 for kids, this will include all beverages and food throughout the day. Scott Motioned to accept these fees and Tyler 2nded and it passed. Scott will be in charge of collecting show fees and the lunch fees as people enter the show room. Insurance for the one day show is $269, or we can get an annual policy for $301. Jeremy motion to buy the annual policy, it was 2nded by Jeff and was passed. Auction – we currently have 10 birds donated, they will be posted to I-Pigeon which will run from Oct 28th to Nov 10th. With the live auction to be held at the show. The closing bid on I-Pigeon will be the opening bid at the live auction. Starting bids on I-Pigeon will be $100. Judges for this show will be Terry Rhyne and Jim Ward. If Terry donates a bird for auction, Ron motioned to give Terry all the proceeds from the auction of that bird for his expenses. Jeremy 2nd that motion and it passed. Raffle – Matt Matthias if in attendance will run the raffle, if not in attendance Jeremy will take care of running it. Ticket prices will be 5 for $5 or 15 for $10. Raffle item donations are being accepted. Trophies will be order by Ron Food – carry in, Tim will bring 3 dozen donuts, Coffee makers by Jeff & Scott, Chips and Soft Drinks and Water by Jeremy, Hot Dogs and buns by Lori, Chili by Ron, will also bring cups, bowls, plates, Lori has spoons and forks, desserts brought by all. Bring anything else you might want to donate. i.e. potato salad, macaroni salad, any other food you might want to share with members and guest. Pictures will be taken during the event by Sara Swalls Record Auction Sales and collect $$ will be done by Ron. Setup will be done Friday evening, any and all within 30 minutes of Terre Haute please come and help. Time to be determined. Tables and chairs provided by the fairgrounds. Cleanup, all will help, need a big push broom if anyone has one. Maybe the fairgrounds has one we can use. Youth Program – Jeremy is working with Sullivan County youth. He is in need of squeakers for young people just starting out. New Business: It was motioned by Walt and 2nded by Scott to purchase tarps to cover the crates and trailer with to protect them from the weather during off season. Much discussion was held on shipping limits, 3 races each weekend in YBs, which would include the BOW race, a limited club race to be hauled on the trailer, and then an unlimited 100 mile race each weekend for birds that did not go to the club race. The 100 miler would be hauled by club members each week. This was tabled until a future meeting. Then the 2018 BOW Race was discussed in great detail. The Proposed changes are included in the attached spreadsheet. More details can be found on the website and all rules will be sent by the beginning of November. Scott motioned to accept the proposal as written, Jeremy 2nded the proposal, it passed with 13 in favor and 2 opposed. A tally was taken and at present it looks like we will be able to accommodate approximately 400 BOW birds this coming year. Nominations for officers are being accepted by Russ for the next meeting. Walt motioned to adjourn the meeting at 11:45, Ron 2nded, it passed.
